Our Data Management Policy

The short version:

We are serious about managing your data properly. Your information will only be kept for as long as we need to hang on to it.

We won't share it with anyone else, beyond the service providers we use to help us with our business software and marketing: Google, Mailchimp, Show & Tell Communications). Rest assured, the data never leaves our control.

We will delete your information once we no longer need to communicate with you.

The long version:

We want to respect you in everything we do. We also want to be completely compliant and transparent. Here is what happens to your data when you give it to us.

Online submission

When you submit a contact form or order form to us through the website, your data goes to two places:

1) Your email comes to our Microsoft Outlook email software and the message is stored on several BiteSize computers and smart devices that access this email account.

2) A copy of your enquiry and your contact details is also stored in a spreadsheet on Google’s servers. This is so we have a back-up of your email in case something goes wrong with our Microsoft Outlook email system.

If you are ordering a cake online, we keep your details for as long as we need to fulfil the order.

If you subscribe to our newsletter via the website (you should, by the way, it’s brilliant), your details are added automatically to a database on Mailchimp’s servers. Mailchimp is the email newsletter service we use. It’s run by monkeys, but they are ethical ones. They insist we use best practice when adding people to our list and maintaining it. You will stay on our active mailing list for as long as you choose. You can unsubscribe at any time. If you do unsubscribe, Mailchimp deactivates your details so that we cannot use them. To do this, Mailchimp keeps a copy of your information to make sure we don’t accidentally (or intentionally) add you again to the active list. Mailchimp doesn’t do anything else with your data. They might be monkeys, but they aren’t cheeky ones.

Show & Tell Communications helps us with our marketing. To do so, it has access to our Google and Mailchimp accounts. However, your data stays on these servers at all times so that we have complete control of what happens to it. Show & Tell Communications has signed a strict non-disclosure agreement with us concerning your data. Like the Mailchimp monkeys, Show & Tell are good people.

You ring us

If you call our phone line to place an order with us, we will write down your details so that we can process your order. That information goes on a hardcopy internal order sheet that is sent to the bakery.

You sign up for the newsletter using a card at one of our cafés

Deleting your information

We don’t want to keep your information for any longer than we have to. We’re sure you don’t want us to either.

If you have contacted us about placing an order and you didn’t want to be added to our newsletter mailing list (the newsletter really is very funny, by the way), your details will be deleted as soon as possible. We run a data purge once a quarter.

If you signed up for the newsletter (either online or by using one of the cards in one of our cafés), your details will be stored on Mailchimp’s servers in our active subscriber list (see above). You can unsubscribe at any time and you won’t get any more newsletter emails. Your data will be transferred to an inactive list on Mailchimp’s servers so that Mailchimp can prevent us from accidentally (or intentionally) adding you to the active list again. Mailchimp doesn’t do anything else with your data.
